Most of the personal information we process is provided to us directly by you when you:

  •   contact us to make an enquiry about our services via phone, email, our website, or any third-party website
  •   make a booking via phone, email, our website, or any third-party website
  •   when you sign up to our marketing communications

We also receive personal information indirectly, in order to provide you with services, from the following sources:

  •   marketing and distribution channels such as Booking.com, Airbnb, Expedia and others

We use the information that you have given us in order to:

  •   respond to enquiries
  •   conduct business i.e. provide you with holiday accommodation
  •   send marketing communications
  •   keep internal records
  •   improve our products/services
  •   assist with business planning

We may use your data for the above purposes if we deem it necessary to do so for our legitimate interests. If you are not satisfied with this, you have the right to object in certain circumstances – see the section headed ‘Your data protection rights’ below.

We may use Mailchimp to send marketing communications; you can click the ‘unsubscribe’ link in any marketing email if you no longer wish to receive this information.

When you book a holiday with us, the legal basis for this processing is the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract. We may share your data with thirty-party service providers who provide services on our behalf or third-party payment processors who process payments over the website, so as to perform the functions necessary to fulfil bookings, process payments and refunds, and provide you with the best possible service.

We may share your data with the relevant authorities e.g. to facilitate the detection of crime or the collection of taxes.

Our website may contain links to third-party websites over which we have no control. Therefore, we cannot accept responsibility or liability for third-party websites. We are committed to ensuring that your information is securely stored, and we have suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. We do not retain any information relating to credit or debit cards; this information is stored securely through Stripe, the secure payment processing platform used by freetobook.

Unless a longer retention period is required by law, we keep your personal information only for the period necessary to fulfil the purposes outlined in this privacy policy; thereafter, it will be destroyed. If you consent to receiving marketing communication, any information we use for this purpose will be kept until you notify us that you no longer wish to receive these communications, at which point we will dispose of your information.
